How Permissions Work
Currently permissions are managed by Korero, this is not something that can be administered by your own admin user. So if you'd like to add admin permissions to a user, please get in touch with the helpdesk.
This article will explain the types of restrictions you're able to have in place based on how the permissions feature works, and will give examples.
What users can see by default (without any permissions)
Users who line manage or "journey manage" other users can view data for those direct reports in analytics, as well as people who report into their direct reports, and so on down the management hierarchy. They cannot see scores or data for any other users.
Managers can view their direct reports on the "Your people" page.
How admin restrictions work
Admin users get to see analytics data for other users, and are able to manage journeys (e.g. cancel journeys, send journeys).
In order to allow users to view or manage journeys for any other users to the ones they can see due to being a manager, that user needs to be set to be an admin (note: please get in touch with the helpdesk, we will do this for you).
When you get in touch with us, we'll need to know which user you'd like to make into an admin user, and which locations they should have admin access to.
For example, imagine your people are assigned an office location based on a location structure like this:
- Europe
- France
- Lyon
- Nice
- Paris
- Germany
- Dusseldorf
- Hamburg
- Munich
- Spain
- Barcelona
- Madrid
- United Kingdom
- Cardiff
- Edinburgh
- London
- Manchester
- Newcastle
- France
- North America
- etc - omitted for brevity
- Asia
- etc - omitted for brevity
You have the choice to assign permissions at any level of this location hierarchy. For example, your new admin user could have permission to view data for:
- All of Europe, or
- All of Germany, or
- Just the Munich office
It's also possible to have multiple location restrictions. So for example, a user can be an admin for all of Europe except for the United Kingdom (so France, Germany and Spain only).
Additionally, you can specify restrictions based on user levels. For example, if you wanted an admin to have access to data for everyone in the UK except the "Executive" level, then we can support that for you.
As an example of a more complex scenario, a user can bet set to have admin permissions for all of these:
- All of North America except for the "Executive" level
- All of Asia except for the "Executive" level and the "Senior Leaders" level
- All of France and Germany
- All of Spain except Madrid
- Just London within the UK, except the "Outsource" level
Further information
Please also note that when a user has admin permissions set against them, they can still see data for their direct reports in analytics, but the people beneath them will only display if they are allowed by the restrictions being put in place. However, admins can still view their direct reports on the "Your people" page.
