Send your own notifications
You can now create and send email (and optional mobile push) messages to a filtered group of your people, straight from Admin → Notifications.
What it is
Self-serve notifications let you write a message once and send it to a chosen audience whenever you need to. A common use is chasers: reminding managers about people who have not started a review journey, or nudging employees who are waiting on a step. Each notification is a reusable definition (name, subject, message, audience type) that you can send, edit, clone or archive from the list. You choose the exact filters at the point of sending.
This is separate from the automatic emails Korero already sends for things like journey assignments and reminders, and separate from the in-app Alerts bell. Those keep working as they always have.
Why it's there
It gives you a way to send targeted, ad-hoc messages to your people without asking us to do it for you. Chasing outstanding journeys is the obvious case, but you can use it for any announcement to a filtered audience.
Who can use it
You need the Manage notifications permission, and the feature has to be switched on for your company. If you do not see the Notifications tile on the Admin dashboard or in the left nav, one of those two things is missing. Ask us if you would like it turned on.
Because this permission lets someone email your whole workforce, you may want to grant it only to the admins who should be sending bulk messages, and withhold it from admins who only manage user details.
How to use it
- Go to Admin and open Notifications.
- Click Create Notification and fill in the Details tab: a name (internal only, not shown to employees), the notification type, the audience, and your email subject and message. Save before the Send and Logs tabs become available.
- Choose the notification type:
- Generic targets any active employee who matches your send filters.
- Journey related targets people based on their journey usage, and needs journey filters at send time.
- Choose the audience:
- Employee sends the message to each matched person.
- Manager sends it to each matched person's manager instead.
- Open the Send tab. For journey-related notifications, pick at least one journey and at least one journey status first, then the rest of the audience controls appear.
- Narrow the audience using the filters (user groups, location, job level, job titles). Filters combine with AND, so someone has to match all of them. Everyone is included by default on these until you start unticking.
- Check the estimated recipient count and use the Recipient preview panel to see exactly who will receive it. Send Now stays disabled until at least one person matches.
- Use Send Test if you want to check the wording first. The test only ever comes to you, and journey previews in a test use a sample journey name rather than your real filters.
- Click Send Now and confirm.
- After a minute or two, open the Logs tab to confirm the sends went out.
Good to know
- Sends are not instant in the browser. They are queued and usually processed within a minute or two, so check the Logs tab to confirm delivery.
- This is manual send only for now. There is no scheduling or date-based send, and no automated triggers yet.
- For journey-related sends, leaving journey status empty does not mean "all statuses". You have to pick the statuses you want. Changing the journey clears your status choices so you set them again.
- Journey-status filters cover Not started, Waiting for employee, Waiting for manager and Completed. People in dropout or partially complete states are not included.
- With a Manager audience, anyone whose manager cannot be found is skipped. This shows in the Logs and is expected when hierarchy data is missing. Fix it in user management or accept the skip.
- People with no email address on their profile are also skipped, and this shows in the Logs too.
- If a notification is archived after you send but before it goes out, the queued send is cancelled. Restore it from the Archived list and send again.
- The message sends email only unless you add mobile content on the Details tab. Mobile push also needs the Mobile App module and mobile notifications enabled for your company, otherwise the mobile section is hidden.
- If you have the AI module, a Review with AI option appears on the Details tab after you save. Suggestions are advisory only, so always check before sending.
